You open a research database after work, enter the full wording of your topic, and receive either twelve results or twelve thousand. Changing a few words produces a different list, but it is difficult to explain why one search is better. Learning how to write a database search strategy for a graduate literature review turns trial-and-error searching into a transparent, repeatable method.

A search strategy is more than a collection of keywords. It connects the review question to concepts, controlled vocabulary, synonyms, Boolean logic, database fields, limits, and a dated record of results. The appropriate level of detail depends on the assignment and review type.

This guide explains how to translate a question into searchable concepts, build term groups, test logic, adapt across databases, document decisions, and know when the search is strong enough to support responsible synthesis.

Database search strategy for a graduate literature review

Begin with the review question, not the search box. Identify the two to four concepts essential to retrieving relevant studies. Population, intervention or exposure, and central phenomenon are often useful; forcing every question element into the search can make it unnecessarily narrow.

For a question about telephone follow-up after hospital discharge for adults with heart failure, concepts might include heart failure, discharge, and telephone follow-up. An outcome such as readmission may be screened later if including it removes useful studies that report other relevant outcomes.

Create a concept table with one column per idea. Under each, list natural-language terms, abbreviations, spelling variants, older terminology where justified, and the database's controlled subject headings.

Document where each term came from. Seed articles, database thesauri, course guidance, and consultation with a librarian can all contribute. Avoid adding synonyms merely because they sound related; each should retrieve a meaningful part of the concept.

Combine synonyms and concepts with Boolean logic

Use OR to combine terms representing the same concept. Use AND to connect different concepts. Parentheses preserve the intended groups. A simplified search might resemble: (heart failure OR cardiac failure) AND (discharge OR transition of care) AND (telephone follow-up OR follow-up call).

Check how the database interprets phrase marks, truncation, wildcards, proximity operators, and parentheses. Syntax varies. A symbol accepted in one platform may fail or behave differently in another.

Avoid searching the complete research question as one sentence. Databases do not interpret questions like a human reviewer. They match indexed terms and text according to platform rules.

Test one concept group at a time and record the result count. Then combine groups gradually. If adding one group reduces thousands of results to three, inspect whether the group is too narrow, incorrectly coded, or poorly represented in titles and abstracts.

Use controlled vocabulary and free-text terms together

Controlled vocabulary organizes articles under standardized subject headings. It can retrieve records that use different author language. Free-text searching captures newer terms, emerging concepts, and words not yet indexed.

Look up the official subject heading in each database rather than guessing it. Review the definition, broader and narrower terms, and available subheadings. Decide whether to “explode” a heading to include narrower concepts according to the platform and review purpose.

Combine the subject heading with title and abstract terms. Newly added records may not yet have complete indexing, and authors may use specific language not represented by one broad heading.

Do not copy subject headings unchanged between databases. Each database uses its own vocabulary and interface. Translate the concept while preserving the search intent.

Test precision and recall with known relevant articles

Precision concerns how many retrieved records are relevant. Recall concerns how well the search captures the relevant evidence that exists. Graduate searches often require a practical balance based on the review question and assignment.

Choose several known relevant articles and confirm that the strategy retrieves them. If it does not, examine their titles, abstracts, keywords, and subject headings. This can reveal missing terminology or an overly restrictive concept.

Then screen a sample of results from different pages or relevance positions. Record why irrelevant items appear. A term may have another meaning, or a broad heading may require a field restriction or proximity operator.

Revise one element at a time and preserve earlier versions. If you change several term groups simultaneously, you cannot explain which change improved the search.

From a teaching perspective, a large result count is not evidence of rigor by itself. The strategy should be explainable and appropriately sensitive to the actual question.

Use limits only when they are defensible

Date, language, peer-review, age, geography, and study-type limits can make screening manageable, but every limit changes what evidence can be found. Tie the limit to the review purpose or explicit assignment criteria.

A ten-year date boundary may be justified for current technology or policy, but less appropriate for a foundational theory. Explain the choice rather than using the database default.

Be cautious with automated study-design filters. Indexing can be incomplete, and poorly chosen filters can remove relevant work. Use validated filters when appropriate and document their source and exact form.

Do not use “full text available” as a quality criterion. It reflects access through a database, not research quality. Use library retrieval services and other authorized access routes where possible.

Translate and document the search across databases

Record the database name, platform, search date, complete search string, limits, and number of results. The platform matters because the same database may behave differently through different providers.

Save or export the exact search history when the system allows. Screenshots can supplement the record, but editable text is easier to audit and reproduce. Preserve the search before closing the session.

Translate each concept into the next database's subject headings and syntax. Do not aim for identical characters; aim for equivalent meaning and logic. Record any platform-specific change.

Remove duplicates after exporting records and document the tool and method. The number retrieved from each database and the number remaining after deduplication are different pieces of the review record.

Know when to stop searching and begin synthesis

Set completion criteria before fatigue decides. These may include searching the planned databases, retrieving known relevant studies, screening test samples with acceptable relevance, completing citation chaining where required, and documenting every final strategy.

New searches should add meaningful evidence, not simply produce more records. If additional synonyms retrieve only duplicates and irrelevant material, document the test rather than expanding indefinitely.

Search completion is not permanent. A long capstone or thesis may require an update before final submission. Record the original end date and use a defined update method.

Move selected studies into an evidence table with stable identifiers. This preserves the link between discovery, screening, appraisal, and synthesis and reduces the chance that an interesting article enters the paper without a transparent route.
